Seven copy-paste scripts for every scenario your missed calls throw at you — business hours, nights and weekends, emergencies, wrong numbers, and the one for your best customers. Steal them, tweak the brackets, paste them in.

The automation is the easy part — pick a tool, flip a switch. The part owners overthink is the message. Here's the truth after watching hundreds of these run: the best-performing scripts are all boring. Short, human, specific about the next step. No marketing fluff, no "We value your business!" Nothing that sounds like a robot wrote it.
Below are seven scripts that cover essentially every missed-call scenario. Each one follows the same formula: apologize briefly → identify the business → tell them exactly what to reply → (after hours) triage emergencies → opt-out line on the first automated text. If you haven't set up the automation itself, the complete setup guide walks you through the whole thing.
Business texting runs on 10DLC business-texting registration — 10DLC ("10-digit long code") is the carriers' registration system for business texts from standard 10-digit numbers, and A2P means "application-to-person" (automated business texting). Registration takes 1–7 days and costs ~$15–$20 one-time. Don't send automated texts until approval comes through. Your first automated text to any number must include opt-out language ("Reply STOP to opt out"). And respect TCPA (federal telemarketing law) quiet hours: no marketing texts before 8am or after 9pm in the recipient's local time. This is general information, not legal advice.
This is the one that fires 80% of the time. Keep it under 40 words. The critical detail: ask for name, address, and problem — all three in one text, so the reply comes back complete instead of trickling in over five messages.
Why it works: it names the business (builds trust), gives a believable reason (not a robot), and asks for the exact three facts you need to dispatch. The name sign-off makes it feel personal.
Different hours, different job: sort emergencies from everything else. The URGENT keyword is the whole trick — it lets the automation flag the thread so your on-call phone gets a louder notification.
Why it works: emergencies self-identify instead of waiting on hold or calling your competitor. Routine callers get a clear morning-callback promise instead of silence. What to do with after-hours emergencies is its own system — see the after-hours lead capture guide for the triage build.
When someone replies URGENT to the after-hours text, this fires automatically. Its job: confirm someone is coming, collect the address now, and set an arrival expectation. In an emergency, silence is panic — even a 30-second confirmation buys enormous trust.
Why it works: "is everyone safe" does double duty — genuine care plus useful triage info. The ETA promise sets a timeline so they don't call your competitor while waiting.
If your tool can match the caller's number to your customer list (most can — this is standard CRM functionality; CRM = customer relationship management software, the database where customer info lives), past customers get a warmer version. Recognition is the cheapest loyalty program ever invented.
Why it works: "the AC we installed in June" proves you know them. People stay with contractors who remember their house. If you don't have last-service data wired in, use the simpler version: "Great to hear from you — what's going on?"
For the one-truck owner-operator who wants to sound like a person, not a company. Some owners report better reply rates with this because it reads like a real text from a real human.
Why it works: first-person, no corporate polish, honest about where you are. Contractors are hired on trust, and this reads trustworthy.
Sometimes the missed caller already has an appointment with you — they're calling to confirm, reschedule, or ask a question. This version keeps them from going to voicemail limbo when there's a scheduled visit at stake.
Why it works: the CONFIRM keyword gives them a one-word action. Every appointment that gets confirmed instead of no-showed pays for the system many times over.
This one doesn't go to the customer — it goes to you. Every missed call should also text the owner (or office) the caller's details so the conversation gets picked up fast. This is the backbone of speed to lead.
Why it works: you see the missed call, the reply, and a one-tap path to the conversation — all without opening the app. In the truck between jobs, this is the difference between a 5-minute response and a forgotten lead.
Every script above is business texting, so the rules apply before you automate: 10DLC business-texting registration on your business number (the carriers' registration system for business texting; 1–7 day approval, ~$15–$20 one-time), opt-out language in the first automated text ("Reply STOP to opt out"), and TCPA quiet hours — no marketing texts before 8am or after 9pm in the recipient's local time. These scripts go to people who called you (conversational), not cold marketing blasts. This is general information, not legal advice.
These scripts plug into the automation in the missed-call text-back complete guide (Pillar A). Want the dollar case for setting it up? How Much Do Missed Calls Actually Cost a Contractor?
