For repeat commercial clients, stop re-collecting the same details every visit. Build a site profile in your CRM (customer relationship management system — the database where you track leads and customers): site contacts, access procedures, parking, safety requirements, billing contacts, PO format. The first job at a site collects the profile; every job after runs off it. The day-before text becomes "same access plan as last time?" — one question instead of six. This is also a competitive moat: the contractor who knows the site's procedures wins the repeat work over the one who asks the same questions every visit.
Commercial texts follow the same rules: 10DLC business-texting registration (A2P = application-to-person; 10DLC = the standard 10-digit business texting number) before sending — approval typically 1–7 days, ~$15–$20 one-time; opt-out language; TCPA (federal telemarketing law) quiet hours (no marketing texts before 8am or after 9pm recipient's local time). Note: purely transactional commercial texts (appointment logistics to an existing business contact) sit in a different regulatory posture than marketing texts, but the registration and opt-out hygiene apply regardless. Example: a mechanical contractor services a 12-building portfolio for one property manager. First job: the full checklist email goes out, the site profile gets built (gate code, the engineer's mobile, the loading dock procedure, the PO format). Jobs 2–12: the booking confirmation references the profile, the day-before text goes to the engineer with "same access as last time?" The contractor's techs stop losing mornings at front desks. A year later, the property manager moves to a new portfolio — and brings the contractor along, because "you guys are the only ones who never have access issues." The confirmation system became a retention system.
